A small group with light luggage might manage perfectly well in two or three cars. Once numbers grow, or the group wants to travel together rather than in convoy, a minibus becomes the more practical option.

Events often involve more than just passengers. Musical equipment, sports kit or display materials can take up as much space as the people travelling. A van may suit a small crew moving equipment separately from passengers, while a minibus with limited luggage space may need a van running alongside it if the group's belongings are bulky.

If more than one person will share the driving, agree in advance whether the vehicle is manual, automatic or semi-automatic, since the controls differ and not every driver will be equally comfortable with each type. This is worth settling before the day of travel rather than at the point of collection.

If anyone in the group requires wheelchair access, this needs to be discussed directly with the hire provider in advance. Seating capacity alone does not confirm that a vehicle is suitable, so specific access requirements should be checked rather than assumed from the number of seats.
